We have 53 SOPs, 39 completed audits across 12 types, and 63 training records all live in one place, and the audit trail builds itself as we work rather than being something we assemble the week before an inspection. The registers most systems simply don't have are here — Duty of Candour, Speak Up, CQC notifications, DPIA and subject access requests, emergency drug box checks. We had been keeping those in Word files and a filing cabinet. Prescribing and consent are tied to the client record, so 293 prescriptions and over 500 consent records are traceable without hunting. And it flags gaps rather than just storing documents, which is the part I didn't expect to value as much as I do > > **Cons**: It is broad, and that comes with a learning curve. There are a lot of modules and it took a few weeks before I stopped hunting for where things lived. Anyone expecting simple booking software will find it a lot at first. > > We have run our clinic on it for over a year, across three consultants and around 900 client records. It has become the system the clinic runs on rather than one more thing to update. The difference it made was to preparation. Evidence is a by-product of doing the work, so audits, incidents, complaints and training are current rather than reconstructed. That materially changed how we felt going into inspection preparation. Support has been responsive and changes we've asked for have actually appeared in the product. Billing and deposits work as expected through Stripe. I'd recommend it to any CQC-registered clinic that has outgrown spreadsheets for governance. INTENTIQ makes complex processes visible. The most valuable aspect as a CQC registered manager is to see where we are going wrong or not followed up. So it is governance in real time. It keeps us on track as it is mapped to the regulations. It makes team education easy but also visible. The RAG scoring is key and then audit framework. Audit is not just a tick box but evidence what we are doing against standards. It gives the feedback, we make the adjustments and measures again. The important forms are standard templates with tracking. So every version control can be tracked. You can see which members of the team have reviewed the SOPS or Policies and it forms part of the mandatory training and tracking which again feeds into governance. We have staff who are trained, equipped, performing to a standard. The complaints section, registering a complaint, completing a complaint and the learning is also seen in the monthly report and it's progress. The reporting also shows you trends over time in quarterly governance. INTENTIQ is like having a whole governance department in your clinic. It makes light work of difficult tasks but also keeps you on track and accountable. There is a very clever function in the system which is your companion where you get stuck, you can just click on it, which opens a tab where you can report a problem and get it sorted within 24 hours or sooner. It saves a lot of time trying to explain what you are doing and what went wrong or data you believe you have lost. It retrieves it but also takes a screen shot of the particular area you worked with and had an issue with. The system evolves and improving every time I work with it. > > **Cons**: INTENTIQ covers HR, Governance, RAG scores, CRM, performance reviews, booking reports, governance reports, reminders and are very specific in areas you need to address. The report shows you all the areas which are tracked to CQC regulations means you realise your weaknesses which sometimes can feel overwhelming. However, without it you would not have known so I take it as a positive. There is a LOT of functionality in the system and it is organised into a system. Like any system it takes a while to get used to it and where to find it, but the developer is exceptional in his customer care and there to help. > > INTENTIQ is the reason I can sleep at night and brings me reassurance and peace of mind. Every team member and patient are looked after. Patients are on a CRM system and can connect with the clinic. Their notes, reports and feedback are all kept in one place but can easily be audited. Every aspect of governance is mapped and updated as CQC updates which is evident as the system keeps evolving. Probably ONE of its many good features are the daily MHRA notifications. What is even more clever is that every machine, product, sundry etc. are recorded on INTENTIQ and allows you to run your asset list against it. So it is a realistic check and can be flagged if any of your assets or products are indicated from MHRA. We had a MHRA flag which highlighted toxin side effects mostly from unknown providers. However, that then flagged as a possibility and we had to do a risk assessment, verification of all our providers and what we require from them. So we ran an audit of all our providers to ensure standards, that then became a SOP for providers in the future but also created patient information leaflets and explanations and vigilance. We changed our consent forms and our patient aftercare leaflets accordingly. The whole process, times and outputs are evident in a report which is produced monthly but also evidence how governance is a cycle and feeds from hazards, risks, into policy, patient information and improve safety. The RAG scoring is a godsend because we can track training, or expiry dates electronically, patient feedbacks are in the system in real time.
