If you've used other pool service platforms, you'll quickly notice the difference. The workflows make sense, the platform continues to improve quickly, and it solves real operational problems instead of simply adding features for the sake of having them. Scheduling and route management may be one of PoolProof's biggest advantages. If you've been in the pool industry for any length of time, you probably remember manually plotting customer addresses, dropping pins into Google Maps, dividing territories, and spending hours trying to build efficient weekly and bi-weekly routes. PoolProof has essentially eliminated that headache for us. Its AI-assisted scheduling and route-building capabilities can take what used to require hours of administrative work and accomplish it in seconds. You can visually see your customers and routes on the map, build schedules intelligently, and still make adjustments wherever needed. For a growing pool company, getting those administrative hours back is a major advantage. Billing is another area where PoolProof really shines. Stripe integration makes getting started simple. Invoices go out, customers can pay electronically, and the system helps automate the follow-up process for customers who don't pay on time. Payment reminders, late notices, late fees, and SMS communication can all become part of the workflow. Instead of constantly babysitting accounts receivable, much of that process can happen automatically. One feature I especially appreciate is deposits on approved quotes. When a customer approves a quote requiring a deposit, PoolProof can generate the deposit invoice and then automatically account for that deposit on the final invoice. It sounds like a small feature until you're processing a significant number of repairs, equipment replacements, or larger jobs. It makes the entire quote-to-payment process much cleaner. QuickBooks connectivity is also available for companies using it for their accounting. More broadly, what I like about PoolProof is that it feels like a platform designed to help you run the entire operation, not just document pool stops. Scheduling, routing, quoting, invoicing, collections, customer communication, and field operations are interconnected rather than feeling like separate systems you constantly have to manage. And then there is the price. PoolProof has been extremely competitive compared with other major pool-industry platforms we've used or evaluated, including Skimmer and Poolbrain. For us, the value isn't simply that it costs less; it's that we're getting a platform we believe provides more operational capability for the money. If you're already using another pool service platform and are hesitant to switch because of the disruption involved, I would strongly recommend giving PoolProof a serious look. We've experienced the headaches that come with managing a growing pool service company, and PoolProof addresses many of those headaches exceptionally well. For us, it isn't just software for documenting pool service. It's becoming the operating system for running the business. > > **Cons**: The biggest drawback to PoolProof is simply that it entered the market later than some of the more established pool service software platforms. Because of that, there are areas where the platform is still being refined and expanded, and you may occasionally encounter a feature or workflow that isn't quite as polished as something that's been on the market for many years. That said, I almost hesitate to call this a true "con" because we've found the tradeoff to be worthwhile. PoolProof may be newer, but it also doesn't seem burdened by years of outdated workflows or legacy ways of doing things. It feels like a modern platform being built around how today's pool companies actually operate. If you're considering transitioning from a more established platform, I think the important distinction is maturity versus capability. There may be occasional areas that still need refinement, but the core platform is extremely capable, and the pace at which PoolProof continues to improve has been impressive. So, if I had to identify the biggest negative, it would simply be that I wish PoolProof had existed sooner. We probably would have saved ourselves a lot of time and administrative headaches over the years. > > Our overall experience with PoolProof has been exceptional. We've spent a considerable amount of time evaluating and actually using different software platforms built for the pool industry. We started with Skimmer, but ultimately found it too limiting for what we wanted to accomplish administratively and operationally as our company grew. We later transitioned to Poolbrain and used that platform for quite some time. Interestingly enough, I first discovered PoolProof through an advertisement while doom-scrolling Facebook. I decided to take a closer look, and eventually we made the decision to transition our operation to PoolProof. We are extremely happy that we did. What separates PoolProof for us is that it feels like there is significantly more room to actually operate and grow your business within the software. Instead of adapting our company to the limitations of the platform, PoolProof increasingly allows the platform to adapt to the needs of the business. The combination of field operations, scheduling, AI-assisted routing, quoting, deposits, invoicing, payment automation, customer communication, and administrative capabilities gives us considerably more control over our operation from one system. The platform isn't perfect—and no software is—but we've been extremely impressed with how quickly PoolProof continues to evolve. Improvements happen at a pace that we simply haven't experienced with other platforms we've used. Rather than feeling like you're waiting years for the software to catch up with how your business operates, PoolProof feels modern, ambitious, and focused on where the pool industry is going next. Having actually operated our business using Skimmer and Poolbrain gives us a very different perspective than simply comparing feature lists on a website. We've lived with the limitations, gone through the transitions, and used these systems in real-world pool operations. If you're currently using Skimmer and feel restricted by what you can accomplish beyond basic service management, I would strongly recommend taking a serious look at PoolProof. If you're using Poolbrain, I would recommend doing the same. We made that transition ourselves, and for our operation, PoolProof has provided a better overall experience while also being more cost-effective. Switching your company's operating software is not a decision anyone should make lightly. Routes, customers, technicians, billing, service history, and daily operations all depend on it. Knowing what we know now, we would absolutely make the switch again. I genuinely believe PoolProof has the opportunity to become the standard that pool service software is measured against. Other platforms have had a significant head start, but PoolProof is building something that feels less like another pool service app and more like a complete operating platform for a modern pool company. For us, the question is no longer whether switching to PoolProof was the right decision.
