choose better software
About Cvent Event Management
A complete event marketing and management platform that handles the entire event lifecycle (in-person & virtual) from start to finish.
I really enjoy how it is able to integrate with other systems to enhance the capabilities or to leverage existing information instead of having to recreate everything.
I don't know if the issue was software-based, or due to admin error, however. I think part of the problem is that the system can be complicated in setting up, and needs expertise to fully leverage.

I don't have many cons but the only part that needs updating for me was the badges web desinger and in Cvent connect they confirmed this has been updated now, which makes us very happy customers
Alternatives Considered:
All-Encompassing Platform
Comments: Its the best tool we've found that can meet our needs and has the least amount of issues
Pros:
That is holds all features and functionality that we would require to request, build a reg site, and plan an event within one platform.
Cons:
I think that the reporting could be more robust!
Alternatives Considered:
Feedback
Comments: It has been a learning curve but we are getting to the point where we are perfectionist and targeting more does issues we are getting but everything else is fabulous
Pros:
I really like the bespoke building of events / tayloring
Cons:
VAT issues sometimes when amending transactions the VAT option disappears
Cvent Event Education Services
Pros:
Great software program for educational services learning how to manage events and the proper documents needed (i.e., RFP).
Cons:
There are no instructions or examples on how to accurately and properly fill out certain documents and forms, such as a request for proposal form.
Easy to Use; professional
Comments: I have absolutely loved working with Cvent and have been a loyal customer for a decade. I highly recommend Cvent Event Management!
Pros:
The Cvent Event Management Platform is so easy to use! The team at Cvent sets you up for success, training you and your team to build your own registration systems and event emails. This allows you to have full, customizable control of the product and create a seamless and branded experience for your users.
Cons:
The cost is a bit higher than some other platforms, particularly if you only have limited use for the system.
Cvent ideal for multiday virtual conference
Comments: -Cvent has by far the best customer support from account managers to their 24/7 online customer support
Pros:
-easy to host mulitple sessions-easy to build website and attendee hub
Cons:
-there is not a direct integration into Hubspot
Feedback
Comments: One a vert long way in last 4 years. Slow to pivot during pandemic but seems now back on track
Pros:
Freedom to create templates that are unique to our business
Cons:
Payments especially vat splits and refunds
Review
Pros:
Registration is pretty easy to set up. I wish there was a more linear path for creating an event or a checklist to use for some of the different parts.
Cons:
Cost and ease of customization. It seems that you may need some coding experience to really get the most out of building the registration site and the attendee site and app are even more limited.
Cvent journey
Pros:
Cvent allows for plenty of customisation and fits plenty of needs within the same platform. We can get a lot done without too much headache.
Cons:
The abstract management customisation possibilities are very limited at the moment.
Great for event registration!
Comments: It has been easy enough to learn within 6 months
Pros:
CVENT can create all types of event registration which can be targeted towards different registration types
Cons:
The support documents miss out important information
Robust tool for sending out RFPs, creating and managing event registrations, and proving ROI.
Pros:
The RFP tool has made life so much easier when sourcing hotel and putting together proposals. Before cvent all of this was manual, now it is automated and you can review each hotel in one place before you source them. For the event management tool, there are just so many features and widgets that you can use for your events. If booking hotels the registration form can integrate with passkey so the attendee can reserve a room right away. It also integrates with our GDS to our air team has the most up to date requests in their system. The On Arrival suite and the Crowd Compass app are huge time savers for large events. We used the On Arrival suite to check in attendees at a recent event, print their name badges, and confirm their optional activities all in one place and on average it took less than 5 minutes to do all of this. The Crowd Compass app was easy to set up and customize for each event and really streamlined the onsite process for our planners and attendees. I have used the app for a conference I attended as well as for events that I planned. Instead of printing out hundreds of pages (schedules, maps, surveys, so on...) for each person Crowd Compass houses everything an attendee needs. You can upload the event agenda, map of the conference center, you can send notifications about room changes or special pop up events, take real time polls/surveys, and network with the other event attendees through the app.
Cons:
It is difficult to navigate and not very intuitive, I frequently find myself searching for the field I need or calling support because I have an issue I can't solve...and I have used the event management tool for over 3 years now, on a regular basis too! The travel module does not integrate well with the rest of the event management models. I am hoping that Flex will solve some of the issues but that will not be completed until Oct. 2018. Reporting is confusing, they offer so many report options which is great but finding the correct report is a challenge. You can create a custom report but again the types you choose from are not intuitive. For example, I recently had to create an air actual report so I chose the report type air actual; however with that report type certain features like airline and the record locator are not available (those fields seem kind of important when pulling a report about flight). I have to select the report type, air actual details, in order for those fields to show.
Cvent Event Management Review
Pros:
The depth of the software and amount of features is what appealed to me the most. There is only one other software out there that is as feature rich but that one is not user-friendly/intuitive. Cvent had all except one feature we needed. Their customer support and customer service is far and away the best I've ever experienced. The salesperson and his process also left all others in the dust. We looked at nine companies.
Cons:
It needs an interactive exhibitor module. Exhibitors should be able to review the floor plan and see reserved and available spaces and reserve their space during registration. The "invitation list" process creates some limitations on how we want to send emails - we must upload people as contacts. We also are unable to change the event site template without paying for a new event build. I would also like to be able to simultaneously register speakers while adding them to the speaker module. Overall, the software is slightly complicated but far less complicated than the other platform out there that is as feature rich. Also, Cvent's customer support makes up for it.
Overall, Cvent has been a great tool for our team and I can't imagine our jobs without it.
Comments: hours of time saved, real-time data upkeep, travel integration, etc.
Pros:
The Cvent software is a data gold mine. The days of manually updating/manipulating spreadsheets are long gone and it can all be done simultaneously in Cvent. It has saved our team hundreds of hours of work.
Cons:
One of the things I like least about Cvent is their pricing structure. There are so many features that our team would love to implement to take our events to the next level (Passkey, OnArrival, etc.) but we often struggle with convincing the budget keepers the cost is worth it. For instance, our team is completely on board with OnArrival, but stakeholders question the thousands of dollars it will cost when we can continue to pre-print tags before the event.

Cvent is the total package
Comments: I've been using Cvent for over seven years and have watched it evolve and continue to improve and expand its scope. I love working in Cvent and building sites for my customers!
Pros:
There are very few things that Cvent isn't designed to do, or if not, a workaround can't be determined with a little bit of effort. I love that the entire event process is integrated from event sourcing to final metric reporting. The registration platform is powerful, and can encompass multiple admission types, registration types, pricing structures, and registration experiences within one event. The accompanying website is easy to build with their tools and can create an elegant, branded marketing piece. Their new mobile app, while not quite as strong as their previous offering, is better integrated with the registration platform and being updated consistently for improvement.
Cons:
The email marketing is less evolved than the rest of the platform and a bit less flexible to design and work with.
Do NOT fall for the salesman reroutine
Comments: We have had a horrible experience with Cvent. Our industry is in crisis mode due to the pandemic and they will not work us at all. We came up with completly reasonable solution that anyone would agree works for both companies, but their solution is only if you sign for a longer term. Why would we sign on for a longer term when the software is not up to par? It's all about them making their money and making sure they stay in business. They are a not a team or a partnership. It's all about their bottom line and they don't care about their clients that they destroy in their path to make that $. Buyer beware. I think they are scrubbing the negative reviews to keep a high number of stars to dupe potential clients.
Pros:
After many work arounds you can make this software work. Does it do everything they promise and seamless like they promised, no. We didn't pay tons of money (triple our other vendor offering the same thing) to have to do workarounds and have to still purchase additional better software to get the job done. So much for being the "leader in the industry".
Cons:
There are too many things to count. Simple things that you would think would be obvious are not options. This was supposed to be a partenrship not a battle. We have a LONG list of things they promised that they could not deliver. Promised features that are a year away from development, with no mention it's years away. Once you sign the dotted line the restrictions soon follow. Do NOT sign with them.
Cvent Success
Comments: Cvent has been very great to my company. We regularly call Cvent to make changes or gain insight into how we can use Cvent better and to its full potential. We appreciate that Cvent takes our ideas into consideration and they have even implemented a couple ideas that my boss had suggested to them!
Pros:
I love the new Flex component of Cvent. It is more friendly as a newer user and modern. The back side to building registration variants are very moldable and workable for my company. We use so many features that as a whole our travel sector of the company is training our Cvent skillset since we look forward to using Cvent for many years to come.
Cons:
I wish the capabilities to for building websites had more flexibility. Yes, we are still able to build beautiful websites but Cvent can be so finicky with what is and is not allowed in terms of designing a website.
Many Features for the Wanting
Pros:
This app platform is one that will do just about everything you would need in a program for the right price. They look into many features and navigation options gearing you towards building a social media network during your entire program . Many features are available but not necessarily known right away. A deeper dive into this software can really open up your creative side. A mobile iPhone, Android and iPad friendly version is available along with the "web" view for those who dare to be different with their Windows and BB devices or just want to play on their PCs instead.
Cons:
Price & Analytics. This is more on the expensive end of programs but is worth it if you need the extra features. The big drawback for this user is the lack of analytics post program. You first have to be able to read a JSON file and you can't get these results without phoning into support for them to pull this information as well. After you receive this, it will give you basic stats, but fails to tell you what sections of your app was visited most / least frequently. This needs to be fixed.
Company Wide Dissent
Comments: Our overall experience with Cvent has not been optimal.
Pros:
I inherited Cvent. The community forums (especially the hacks) are a great resource.
Cons:
One of the most disappointing aspects of Cvent was being told several years ago that we "had to switch to Flex" since Classic was being discontinued, and as of August 2020, there are many features still not available in Flex. So many features were not in play once Flex was rolled out that we put all our 150+ events back into classic. The convoluted process to do many tasks within the platform is frustrating for everyone (literally everyone) in our organization who has used it for the past six years.

Customer Service Lacking + Overly Complex UI = Stress
Comments: If you don't have a full-time event planner with LOTS of UI and web design experience, I wouldn't recommend it at all. CVent was supposed to make conference planning easier. Instead, it took several of us away from our primary roles in order to solve glitches and endure endless wait times with customer support.
Pros:
You can both set up an event, manage invites and create your event website using CVent. Registration questionnaires allow for everything from selecting meals to payment.
Cons:
CVent is not user friendly at all. It takes 12-15 clicks what you should be able to do in 3-4, and the dropdowns don't make sense. It seemed that every month or so we'd have a new rep. It was as if the company had a revolving door. The event website was incredibly difficult to set up compared to Wix, Wordpress or any other site I've used, and the limitations were frustrating. To have a sharp-looking solution, you have to purchase multiple upgrades. After a difficult first year we were told we could clone the event website next year and change certain details and pictures.... and then CVent decided to redo their platform, and not for the better. So we had to start from scratch. You can create an event app to go with your website, but the content didn't copy over. Which means we had to manually enter in all speaker, session and attendee data over twice. It was senseless.
Best event program on the market right now. We use it for all of our companies events.
Pros:
Cvent allows you to control all aspects of your event, including registration, email marketing, and billing. It even allows for integration between many CRMs. Our company uses Weblink as our CRM and it integrates perfectly together
Cons:
Most of their options for events is a la carte pricing. So sometimes you may not be able to fully utilize what Cvent has to offer due to budgetary constraints.

Cvent - Life saver for conference registration
Comments: We use Cvent as the main platform for our 3000+ person annual conference as well as a handful of smaller conferences and events that range from 15-150 people. For our annual conference we use ALL the Cvent functions from Abstract Management to curate our sessions, registration types, registration paths, admission items, optional items, fees, speakers, exhibitors, credits - Cvent has it, we use it! And it has all helped eliminate double handling of work, it's streamlined our processes and given us more time to perfect other areas of our conference we otherwise wouldn't have time to focus on. We only have a small team of 12 in our office and more than half of us have Cvent log ins. Others in our office and on our board of directors have access to reporting in portals so that they can track how our numbers are looking.
Pros:
* Accommodates our very complex registration setup with different reg types/fees/packages * Allows us to have a very robust 3 day schedule of over 100 tours and sessions * Integrates directly into our app (Crowd Compass) and onsite Solutions (OnArrival) * Badge & Certificate printing directly from the site
Cons:
* Loading credits in the system is the bane of my existence, such a simple task is so tedious and I feel it could easily be fixed by their developers.
Your one-stop shop event management platform
Pros:
This is an event planner's dream come true! It is truly your one-stop shop event management platform tool. It is a user-friendly software, allowing planners to build and manage registrations, send email, manage surveys, and run reports. Best of all, to feel at-ease knowing that you are providing a positive and seamless registration experience. Cvent has made and have continued to make enhancements in the ever-changing events industry. They are innovative and welcome customer feedback for product improvements. Their customer service are well-knowledge and have been extremely helpful whenever I ran into issues.
Cons:
We have specific event and survey reporting and data needs so some of the selected fields lack the customization (this has been addressed to Cvent so hopefully they're considering it as an improvement!).
Resource intensive work made easy
Comments: All in one place, great event management tools, great for multiple people to work on the same event software.
Pros:
Its helped save lots of hours I would normally spend on organising events. The tools that this application have are great, from duplicating events (so you dont have to redo the paperwork) to templates for websites to help promote your event. Its very good.
Cons:
Like with all new applications, the initial set up and getting to know the system can be time consuming. But once you get to know it its a very easy application to use.

I struggled with 'user friendly', at first...I've since learned to navigate and am happy with CVENT
Comments:
The ability to collect data regularly and consistently.
To readily access that data.
The potential to further collect data significant to our non-for-profit organization.
We are far ahead in our ability to create comprehensive reports than we were prior to Cvent
The ability to monitor our registration processes with the added assurance of its accuracy.
The ability to collaborate with CVENT and PayPal in the events' registration payment processes
Pros:
Even at the minimum defaults, the overall presentation of an event is highly professional. As a non-for-profit organization driven by data, the data this system has the potential to collect is phenomenal. The payment process and financial reporting is also easy to use and a huge timesaver. The support services are the absolute best I have experienced.
Cons:
Not as intuitive as I expected Registration Types do not auto-alpha when translating from selecting registration types to posting them on the event webpage Would like more options for customizing conference sessions and collecting/reporting the registration data Would also like to see templates for non-for-profit organizations
Cvent is a very good SMM tool overall
Comments: Quite a bit. For one, I now feel a lot more comfortable using the tool. Before, we used Lanyon and I felt like I needed a PHD to navigate the toold. Now I'm comfortable with the tool and can quickly access what I need.
Pros:
It super easy to submit a meeting rfp. I find the hotel sourcing tool to be very intuitive, efficient and overall all extremely easy to use. I once did it in the time it took my plane to finish boarding. I also like that while sourcing hotels, the system maps them for you. this is really helpful when you are trying to find hotels close to a particular place or another hotel. Like when sourcing overflow hotels.
Cons:
I wish we could better manage room blocks. I find people that quickly accessing someone's travel/hotel reservation takes a lot of clicks. I also find it odd that they call it travel and not just hotel reservations or something hotel related. Anyways, it's also hard to quickly find out how many nights someone is staying or create a room list by room nights for determining food counts and particular meeting attendance.
