A must for all tutoring businesses

Comments: Life-changing. Seriously. Before this we were with Learnspeed and it was far less user-friendly and we were spending more.

Pros:

It looks so professional to all our customers. All our tutors easily understand how to use it without nearly any training. Customers are very comfortable logging in and giving us their CC. Overall, just fantastic.

Cons:

Every once in awhile I'll come across a missing feature. I then need to create a personal bot for our company that makes up for it. For example, it lacks PayPal integration for paying our teachers/tutors.

Great product for Tutor companies

Comments: The Tutor Cruncher Team especially [sensitive content hidden]
have been fabulous. They are polite and friendly and we recieve quick responses, with helpful information and guidance on how we can get the best from the system. With best practices, little tips and tricks, we can meet many of our business needs and digital transformation aspirations with Tutor Cruncher. They also pro actively contact us and offer to walk us through additional functionality which may fit our business set up. I would highly recommend Tutor Cruncher to a Tutoring Company.

Pros:

It is clear to see that the system has been designed and developed by someone who knows the tutoring world. The functionality and features are fabulous, we got up and running really quick and the benefits it bought to our team were great. We were working quicker with less errors and better communication with our Tutors.

Cons:

We are a small business and cant' afford to pay for the development of our bespoke processes. However, as a start up, there is so much potential for Tutor Cruncher to grow. All of our processes are not currently supported by Tutor Cruncher, however many of our business requirements are met. It is an exciting journey to be on with Tutor Cruncher, as they are open to our feedback and ideas for additional functionality for the system to be driven forward and grow as a product. I cant wait to see additional processes in the future.

Love Cruncher, Would Recommend

Comments: Very very positive. They held our hand the whole way through our onboarding process. [sensitive content hidden] went so above and beyond for us, with full honesty every step of the way.

Pros:

I love the transpareny on what is and is not possible. There's too much overpromising in the software space. What it can do, it does the best.

Cons:

There are some functions, like auto compatibility to outside websites that we have been able to manage through third party vendors, but it would be better if everything was in house.

Alternatives Considered: Teachworks and TutorBird

Reasons for Choosing TutorCruncher: It was too big a project to create something from scratch.

Good quality software

Comments: Good! Apart from the two improvements I wrote about, I love TutorCruncher and I think you did a great job at building it.

Pros:

The number of options available and the fact that it simply works. Other types of software don't always work, so I was happy to see TutorCruncher does what it is supposed to do. I like the number of options and the client-student system works really well, as does the invoicing.

Cons:

Two things: 1) The software does not work intuitively. Options are difficult to find and are not where a client expects them to be. I'd advise you to work with someone who knows about customer experience in software and who is willing to update the software with your customer in mind. As a client, the software has clearly been designed by someone who is good at building software, but who is not specialised in customer experience. 2) Translations. These options are horrible. There are many words one can translate in TutorCruncher, but once I did, the original English terms appeared on the invoices, still. When I asked about this, [SENSITIVE CONTENT HIDDEN] told me the translations are just there 'for you'. For me? I don't get why it works like this. I'd advise you to either a) make sure the translated terms appear throughout TutorCruncher as well as - most importantly! - on the invoice to the client's customers, so that the client won't have to build a new invoice using Moustache. And b), I'd also be interested to work with you to translate the software to Dutch or other European languages. In that way, your clients won't have to translate at all, and it will provide you with the opportunity to start selling the software here in the Netherlands (as there is no Dutch software available atm).

Our translations work for end users only (clients, tutors, student), which is why you will not be be able to see these changes on your admin profile. Comments: Overall has been very helpful, allowed us to streamline our process. However, we had to write our own integrations to customize the site for our needs

Pros:

I really like the customizability, and the amount of features offered. Pipeline is great, calendar is great, statistics/analytics that we can see is amazing

Cons:

Sometimes it feels a bit rigid, and would like a bit more customizability. Also if more things were in the API this would be useful, I know you cannot add labels through the API so if the API was fully open this would be helpful in allowing companies have more customizability

Alternatives Considered: Setmore and Bookly

Reasons for Switching to TutorCruncher: TutorCruncher was the best priced, also it offered a really in depth and really specialized software for tutoring

Comments: Excellent support team and resolve problems step-by-step together!

Pros:

Speed of the website. Payment breakdowns. Set up process.

Cons:

No option to only reschedule and avoid clients cancelling. We have a rescheduling policy. If there is an illness or emergency related issue only admins / tutors can cancel. Lesson reports - adding images easily.

Alternatives Considered: TutorBird

Reasons for Choosing TutorCruncher: Booking, payment and lesson feedback were not easily viewable in one play.

Switched From: Acuity Scheduling

Reasons for Switching to TutorCruncher: No Split Payments option available. The pricing of some of them were too high for what we were receiving.

Great Functionality

API is well done and useful. Lots of functionality to change things.

PDF and HTML templates don’t let you access the tutors details very easily to allow the tutors details to be put on invoices

Backbone of my company

Tutorcruncher - an excellent tutoring solution

Comments: It was a breeze to use. Information on each tutor and student was easy to both input and recall.
The accounting system is excellent. The whole package is really user friendly.

Pros:

Such an easy system to use. Everything is there at the touch of a button and it is easy to keep track of what each tutor and learner are doing.

Cons:

I couldnt fault Tutorcruncher to be honest. Once I had worked out what each section could do and linked to I found the whole set up really easy.

A well developed platform with continuous improvement and new features.

Comments: I guess I am most impressed at the fact that they have good client service that generally get back to your problems within 24 hours. Also they continue to develop and perfect the software, making it more and more suitable for my need. They even developed a video conference integration themselves to resolve the program I have with other integrations. Best part it, its free of charge (I hope it stay this way).

Pros:

TutorCruncher offers basically everything my tutoring business needed. From CRM, teacher/client database, website implementation, and online classes. It also have payment integration too, but since I collect my fee from other means, I didn't really get to use that, but its available.

Cons:

I use it to provide service to Chinese customers. The translation process is available, but not automated. I essentially have to translate things one by one. Also, it doesn't let me or the user to switch between languages. So I had to put in both English and Chinese at the same time for users. Works, but made the interface messy.

Tutor Cruncher Does The Crunching So We Don’t Need To!

Comments: Overall, while there are always learning curves for all, Tutor Cruncher's team has worked seamlessly with our team to ensure that the transition and daily use is smooth. I, personally, appreciate that I can gather questions from my team and take them to the Tutor Cruncher team and we can dialogue about them. This communication makes for an amazing working relationship!

Pros:

As we grew as a Tutoring Agency, it was great to have a system that already had thought of how such a business operates so that the transition could be seamless for our team and our customers.

Cons:

As with any software, there are improvements that with time can be expected. Our tutoring team would love there to be a built-in spell check for reports and outgoing emails!

Game changing if you run a tutor agency in the UK

Comments: Excellent. I have met several members of the team and the support is very responsive. I am set on using this software now and pleased to see the innovations taking place and know they have ambitious future plans and are keen to listen to user feedback and ideas. Many thanks!

Pros:

Once set up and you have got your head around all the functionality the basic day to day processes are very simple. You get great weekly analytics summaries of how the business is progressing (although a monthly summary email would be also really useful!) and the invoicing system works well for tutors and parents.

Cons:

Some of the analytics on the dashboard could be more detailed. I would like the option to view turnover and profit figures inclusive of the Stripe fees. Plus the ability to clearly compare a certain period this year with last year's data to aid analysing business progress. (like Xero offers). Finally if there was a way to add a business forecasting feature to see how the business does against projections would also be really useful and save me time and expense having to do all this manually outside of the platform on spreadsheets.

Efficient Tutor Management: Provides a centralized platform for managing tutors, Their availability allows us to easily assign tutors to students based on their expertise and availability, ensuring efficient scheduling and reducing administrative overhead. Streamlined Communication: Facilitates effective communication between tutors, students, and parents. They will send class reminder daily, share resources, and provide feedback directly through the platform, enhancing collaboration and keeping all relevant parties informed. Customization and Scalability: Highly customizable, allowing us to tailor the specific tutoring needs.

Cons:

Limited Customization for Advanced Needs:There may be limitations when it comes to advanced or highly specific requirements. Some of the requirements can't be set to the platform. Technical problem: There is maintenance when I use the platform, sometimes is disturbs my work and I need to wait until maintenance has finished.

A simple and effective tutoring management system

Comments: We have had a very positive experience with TutorCruncher, with positive feedback from our tutors and clients too. It has allowed us to manage the lessons that take place, the ones that are rescheduled and the ones that are cancelled. All users are notified and it has streamlined our invoicing process.

Pros:

TutorCruncher has streamlined my business by ensuring that all lessons are clearly accounted for, and that parents are able to review feedback in a timely manner.

Cons:

A bulk import of tutors and clients would be an incredible feature to save time for users. Unfortunately this has not been available and it has been very time consuming adding multiple students, clients and tutors to the system.

Tutoring software review

Comments: Overall experience is really good. The support team is always available and very responsive. And for the price, TutorCruncher is an amazing investment. All the other softwares that I found online were way more expensive, either charging based on the number of tutors, or wouldn't have all the functions needed. I found that TutorCruncher was the best because it had all the functions I was looking for being a tutoring company with booking, scheduling, tracking, and accounting all becoming automated. It is an amazing software for tutoring companies.

Pros:

The best part of TutorCruncher is the accounting. The automatic charging of clients through card payments, along with the auto generated invoice works really well. Clients only have to put in their card once, and after they are automatically charged by the system. The mass emails also is great because it eliminates tedious emails to clients that one would have to send manually, and keeps clients in the loop/up to date. The tracking of how much each tutor needs to be paid works really well so tutors can be paid at the end of the week/month, or whatever time frame.

Cons:

The integration was a little difficult, just making sure everyone adjusted to a new system with accounts and booking lessons. It was a big change. However, it is totally worth it because once you transition totally to TutorCruncher, it works really well on a large scale. There are some bugs in the software that can be annoying, but TutorCruncher's customer service is very helpful in resolving issues.

Tutorcrunchor Review for Lone Tutors

Comments: Very helpful thus far for providing the means to host my lessons with little effort in terms of admin. I can imagine it would be great for bigger tutoring businesses, regardless if online or in person, but it is bloated for those simply running a smaller part time tutoring business. Overall, I cannot find something out there that provides this much automation and tools I need while still keeping the price respectable, even if I am a lone tutor.

Pros:

The synchronisation of the lessons, students and clients to invoicing and scheduling.

Cons:

The flexibility to handle smaller businesses. There is a lot of extra settings I had to turn off and do not use that would only benefit me if I were a bigger team or business.

Great software to manage our service

Pros:

Highly customisable and scalable software bespoke for the tutoring, teaching and education industry

Cons:

There are always various feature requests as customers want enhancements to the product, but it's not clear when the updates can be expected. For example, I would like to export out a list of balance updates, which seems like a feature that is easy to implement, but this is not possible.

Tutor Cruncher is a brilliant system and the staff are super helpful and continue to improve things.

Comments: We are able to manage our daily and weekly activities for our business and also able to track our clients progress along the way.

Pros:

How user friendly it is. There are so many options and categories available and they all make things so simple and easy, but are so user friendly to work with. Tutor Cruncher puts everything into place for you, so you just have to slot things in.

Cons:

Sometimes things go wrong and we have to wait while that issue is being sorted out. However, the team does sort things out very quickly.

Excellent software with first rate support

Comments: Saved me a huge amount of time.

Pros:

I am an accountant specialising in the tuition sector and many of my clients use TutorCruncher. The accounting side is excellent and the integration with Xero, Stripe, GoCardless and Telleroo works very well. I have used other tutor management software over the past few years but have found TutorCruncher to be the best by a long stretch. The support is outstanding. I have requested specific reports and features in the past and the TutorCruncher team have been very accommodating.

Cons:

If you have very specific invoice requirements (especially if you require very tailored invoices) then make sure that TutorCruncher can accommodate this. Although this might be a limitation of the accounting software (Xero or Quickbooks Online) rather than TutorCruncher.

Good base features, details need work

Comments: The software itself has a lot of promise, and the team is great. We're currently working with external solutions for some of the issues mentioned above and hope to see those features implemented in the future as well.

Pros:

It's a straightforward piece of software in terms of what it does. It provides lesson planning and registration, integrated with an accounting section to manage the balance a student still has available.

Cons:

Some features are still missing which would be very valuable to have (iDEAL payments, multiple document upload, document search) and the design choices aren't always very clear (for instance, marking a task as 'completed' will bring you to a task list, instead of staying on whichever page you were working on). Therefore it can sometimes be a little tedious to work with, having to find solutions external to TutorCruncher, or clicking through pages multiple times in a row.

The best LMS system for managing tutoring service, but still not perfect

Comments: I liked the features offered by TutorCruncher, but there was a steep learning curve. From my research, this is one of the best platforms available for an online tutoring service. It's designed for managing a tutoring service, this is not designed for a teacher to manage an online classroom. Customer service is great. If they can set up integration with Quickbooks, that would be ideal.

Pros:

Very responsive and helpful team, provides prompt response to your questions. Great functionalities compared to other LMS systems out there for managing a tutoring service. The company, while still relatively small, is more established than most LMS companies out there that I found. This is important, you don't want to build your business on a company that's just someone's side gig and can go away any day.

Cons:

No integration with Quickbooks, which is a major pain when managing accounting. No direct integration with Zoom, but there's an easy work-around.

A brilliant system for helping with our administration.

Pros:

It is very user-friendly and easy for administrators, tutors, students and clients to use.

Cons:

Some of the functions can be a little clunky and slow. Also, at times it can be confusing how there are a few different ways to do the same task.

We've used the program for our small tutoring business for the last 4 years.

Comments: Tutor cruncher is a vital part of our tutoring business.

Pros:

I like how there are continual updates to the software with new features being added all the time. I like how easy it is to add sessions.

Cons:

I would like it if newly created invoices also contained a line that states how much they owe on previous invoices and give a total amount owing for all invoices.
