Coupa - The Expense Manager for your business

Comments: Coupa Expense has been a great software for our company to manage the spent smartly with a full proof apprval process. It has brought more transparency and accountability among the team members. As an organisation, we really appreciate this platform and would like to suggest others to use this application in their business.

Pros:

Coupa Expense is easy to use. The following features are most amazing to me - 1. Requisition and PO management. 2. Approval DoA/flow chart is very easy to assign. 3. Reimbursement process is simple. 4. Multiple currency is available. 5. Full spent analysis report feature.

Cons:

Coupa Expense is one of the best expense management softwares and I personally do not see any improvement area for this software.

Comments: This platform should be better considering all the investment and is an expensive tool for companies, so you spend more time to do the right thing once.

Pros:

It is a good platform to help companies to buy products and services. The idea is to faster the relation between companies (B2B).

Cons:

It is not a friendly platform for the user, it is full os details and does not allows mistakes, I mean if you start a process with some information and you have to change it, you would take some time to do that.

Too clunky and counter intuitive

Comments: I have to use Coupa to bill one of my freelance clients as it's part if their payment system. I'm a writer and this feels like it was made for contractora. It's exceptionally clunky and difficult to use, and there seems to be no way to streamline it. It is honestly one of the many reasons I want to leave that client.
It really wouldn't be so bad if they just labeled everything clearly, but I have to sit and hover over half of the menu icons to get the description to load so I have any idea what to do.

Pros:

It creates invoices and P.O.s effectively

Cons:

The interface is so counter intuitive and clunky. It has multiple stacks of coins with no descriptions on there, you have to choose an address even when you only have one address listed. I constantly fijd myself searching around just trying to figure out what to do even though I do thebsame thing on the software every time. It's constantly pushing you to upgrade to the paid version.

Coupa is a highly customizable system

Pros:

You can easily navigate the application since it interface is simple and understandable. You can customize the application based on what you want the results to be. Coupa can be integrated to a different application depending on business need. Very minimal lag time.

Cons:

Integration of documents to Coupa needs more improvement as there are limitations on the type of file that can be uploaded such as zipped files.

Comments: I like the ease of raising purchase orders in Coupa. Purchasing is easy once you set it up, but the inital setup can be painful.

Pros:

Ease of releasing purchase order and copying new ones from existing ones.

Cons:

If you have to setup a new purchase order, looking through inventory for a company as large as ours is a nightmare.

Worst system ever

Comments: Inpossibke to use as there are so many errors. From blank submissions being recieved which were completed at user end, to questionaires mysteriously triplicating questions.

Pros:

Nothing, its the wort system i have ever used to date.

Cons:

Doesnt work properly. Multiple errors mean it is impossible to oboard. Suppliers laos have to pay to get telephone support when errors occur.

End user's love but application team might face hurdles

Comments: Effectively reduces cost, better operational efficiencies and better end user experience

Pros:

The tool is meant to give a very good experience to end users. All the out of box functions are designed with high quality UI standards which will reduce the learning curve for end users. IT team don't have to spend hours to explain the features and functions as the terminologies and configurations are quite intuitive. Finally so much comes out of box if planned well and ahead of time a lot of customization requirement can be avoided. The T&E module is really liked by a lot of top tier business users.

Cons:

The integration capability is not up to the mark. When it comes to customize a lot of road blocks can be faced but it seems the Product team is actively looking in to some of them and with every release they are making some advancement in this direction. There are some weird limitation on few types of reporting capabilities which I think should be there.

Pros:

You can make it as formal or informal as you want. billing off of a PO is very simple

Cons:

sometimes the servers speed is an issue. it can take up to several minutes to process a single record.

Pros:

The Simplicity of entering items to be approved. The different areas are very self explanatory and it is easy to navigate through.

Cons:

Repetitiveness of entering information or submitting something. After entering all the information on one page it makes you re-approve on the next page. When adding another line to the items in cart, it makes you completely re-enter all information which is frustrating when the items are linked but may just be different in price.

Most modern platform with some downfalls

Pros:

Modern and simple platform that blows most competition out of the water. Frequent releases and a good portal for customer suggestions and knowledge forums. Handles complex workflows and hierarchies relatively well.

Cons:

Their "super" search bar is terrible. Like, the worst search bar I've ever used. No matter how well we tagged items, it would never find them. It was basically useless. Thankfully our users primarily use punch-out catalog. They also don't support IF/THEN statements in much of the platform. That makes certain workflows impossible or extremely tedious.

Review of Coupa Procurement

Comments: I've used Coupa for close to 5 years now. While the product provides a good value to it's primary functionality, the product lacks a level of polish to it. The navigation and processes to do specific steps feel clunky and not very smooth. I've looked for things only to ask Accounting where something is at because I simply can't find what I'm looking for.
While overall an ok to good piece of software there are pieces of it that make it time consuming to use and because of that I only use it when I absolutely have to.

Pros:

Pros of Coupa: - Allows process and systems to work through large purchases - Helps better keep track of the purchases needed for the company (whether they be large or small) - Ties the purchases to a PO for Accounting and Finance teams to keep track of.

Cons:

Cons of Coupa: - The usability of the product isn't polished. You can't find a submitted request easily to see who has the next step in the approval process - It's difficult to search for created items in Coupa - You end up searching for large amounts of time to do things in the product you need to complete but are not quite sure where those things you need to do are at.

Pros:

Coupa makes reimbersement of employee expenses a breeze. Credit card Transactions can be automatically loaded.Coupa expenses Mobile app comes with voice capture capability. The expenses approval workflows are streamlined. Expenses policies can be changed easily. Based on the expenses history and other industry data, coupa flags each expense on a frugal meter thus encouraging employee to spend less.

Cons:

Coupa needs to be integrated with ERP for accounting and payments. Sometimes this is a pain as there can be integration issues.

Comments: Overall, Coupa works fine, it's a lot better than other expense management systems, but could still be better, particularly in the UI

Pros:

Generally speaking Coupa works very well for me. I can get my expenses done fairly quickly using the software.

Cons:

The UI in Coupa isn't great, moving expenses from the wallet to a report is easy to make mistake in. The UI in the mobile client isn't great and it's not obvious what you're looking at some of the time.

Pros:

Coupa is easy to navigate and to understand. I can easily request payment be made for something, upload the invoice, IDT (Internal Department Transfer) specific items that our department needs, the list goes on and we have it setup with the vendors that we use to go directly to their page and once we've selected the items we would like to purchase it will send the checkout back to Coupa for approval and purchasing!

Cons:

Honestly, I don't have anything bad to say about Coupa. There was only one one time that we couldn't figure out why a PO# wasn't reflecting right and we kept getting emails about a PO# that was denied but it wasn't. Maybe a weird glitch once?

Coupa is the worst software I have ever used

Pros:

Absolutely nothing. The software is the least institutive, user friendly I have ever used.

Cons:

Regardless of whether I am using expenses, requisitions or invoices, I have never been able to submit or save anything without having to get the finance team to perform magic in the background. The end user typically gets an error message "Please fix the errors below", but there are never any highlighted fields or errors displayed.
